    BUSINESS DEVELOPMENT MANAGER (BDM)

    TASKS

    • Sourcing and following up on of Leads
    • Liaising with and meeting new owners
    • Follow through of process until signing of contractual agreement
    • Relationship management between owners and Totalstay

    NOTES

    • Tourism/ Hospitality experience preferable

    GUEST RELATIONS

    • Take responsibility for all guest related functions including:
      • Check in’s and check out’s
      • Guest related queries during their stay
      • Liaison with the guest before and after to facilitate smooth procedures as deemed by Totalstay
    • Report any property defects in a timeous manner to the Property Manager. Wherein this would affect the guest, liaise with the guest timeously and with urgency
    • Attend to any guest complaints in conjuction with the Operations Manager
    • Assist in the instituting of procedures that would enhance the guests stay and experience with Totalstay
    • Make yourself aware at all times of many of the tourism offerings within Cape Town that would allow you to be a good source of information to our guests.
    • Welcome notes and gift packs for guests as required
    • Weekly guest reports to the Operations Manager
    • Reporting to the Operations Manager

    CORPORATE RESERVATIONS

    TASKS

    • Build and maintain relationships with strategic corporate clients.
    • Build Corporate agreements with trusted corporate partners to make use of our accommodation facilities.
    • Receive bookings and follow necessary administrative procedures.
    • Assist with managing the marketing descriptions of properties for corporate interaction and ensure they are updated with correct information.
    • Correctly Invoice and follow up on payments for bookings.
    • Liaise with guests regarding any queries on any of our properties or services.
    • Respond to quotation requests with urgency and follow up any emails to maintain a high level of sales.

    RECEPTIONIST

    • Welcome guests to the property on arrival and ensure all details of the guests received and captured on PMS system
    • Check guests in on the PMS system and capture any additional details provided
    • Processing of Credit Card payments on arrival and departure according to billing instructions
    • Management of any telephonic queries and correct answering of phone calls
    • Preparing of Guest Bills with correct charging of any extra’s as required
    • Handling of basic guest complaints with referral to the Duty Manager or Operations Manager
    • Concierge functions – booking of tours, transfers as well as any other requirement a guest may have
    • Liaising with and maintaining of good relationships with suppliers and contractors
    • Check out procedures carried out and any guest charges, charged to the guest account and payed for.
    • Management of Cash Float and end of day cash Ups
    • Maintain Vin cards and remote access for garages. Charge refundable deposits to guests accounts on issuing and remove upon return
    • Relay any housekeeping requests to the Duty Manager
    • Prepare Late arrival packages and sign sheet for Kin7 staff
    • Run Night Audit procedure before end of shift at 7pm
    • Any further duties as required by the Duty Manager or Operations Manager
    • Report to the Duty Manager and Operations Manager

    NIGHT AUDITOR

    • Welcome guests to the property on arrival and ensure all details of the guests received and captured on PMS system
    • Check guests in on the PMS system and capture any additional details provided
    • Processing of Credit Card payments on arrival and departure according to billing instructions
    • Management of any telephonic queries and correct answering of phone calls
    • Preparing of Guest Bills with correct charging of any extra’s as required
    • Handling of basic guest complaints with referral to the Duty Manager or Operations Manager
    • Minimal Concierge functions with referral of booking requests to the day shift
    • Check out procedures carried out and any guest charges, charged to the guest account and payed for.
    • Management of Cash Float and end of day cash Ups
    • Maintain Vin cards and remote access for garages. Charge refundable deposits to guests accounts on issuing and remove upon return
    • Relay any housekeeping requests to the Duty Manager
    • Reconcile all credit card transactions with the spreadsheet and credit card batch reports
    • Export all Invoices to Xero and ensure all charges are posted correctly
    • Run Night Audit procedure
    • Maintain property checks and assist guests with any maintenance issues as required
    • Any further duties as required by the Duty Manager or Operations Manager
    • Report to the Duty Manager and Operations Manager
